The FMS Workload Reporting System will be used to:

  • Establish an equitable and transparent spread of workload across the Faculty
  • Ensure that an individual’s balance of activities is appropriate
  • Better inform the PDR process.

  • We will be better placed to identify and support staff wellbeing issues, including identifying staff who have a very high workload
  • It will allow Equality Diversity and Inclusion considerations to be part of workload planning.

Scope

  • In the first roll-out, the WRS will apply to all academic staff on T&R and T&S contracts, taking into account FTE and clinical commitments. Other academic staff will be included at a later stage.
  • It will be a Faculty wide system and not tailored to specific unit requirements.
  • It will capture agreed academic activities carried out on behalf of the University. Areas of activity will be Teaching and Learning, Research and Innovation, Citizenship & Management.
  • Activities will have allocated tariffs calculated in hours and published annually, but in the pilot phase individuals will be able to provide their own workload which can be higher or lower than the tariff.
  • All unit data will be available to Deans and Heads of School and their deputies, Directors of Education, Directors of Research and PVC. Individual academics will be able to view their personalized data.

Responsibilities and Ownership Unit Leads will have overall responsibility for the use of the WRS and workload allocations in their units. This will include:

  • Ensuring the workload allocation process in their unit is consistent with that of the University and Faculty and is effectively communicated to all academic staff
  • Ensuring that the WRS is an integral part of the PDR process
  • Use the system to monitor the workload of staff in their unit
  • Contributing to the setting of agreed academic activities and tariffs.

Individual Academics will be responsible for engaging in the workload reporting process. They will be required to:

  • Validate the auto-populated data in the WRS and populate the self-reporting data themselves
  • Review their own workload data in relation to their unit or Faculty data
  • Use the system to raise concerns regarding their own workload with their managers
  • Provide feedback on any tariffs to ensure these are fit for purpose.
